The problem

Sorting incoming PDF documents into the right folders by hand is slow, repetitive and easy to get wrong — exactly the kind of work that should be automated.

Objectives

  • 01Classify documents using keywords and predefined rules
  • 02Move each file to a structured destination automatically
  • 03Run on a schedule with no manual trigger

Technology

  • Python
  • PowerShell
  • Windows Task Scheduler

Approach

A rule-driven script reads each new PDF, matches it against keyword rules and moves it into the right destination folder. Windows Task Scheduler runs it automatically, so the folder structure stays organised without anyone thinking about it.

Key features

  • Keyword-based document classification
  • Automated file movement
  • Scheduled execution
  • Structured destination folders

Challenges

Rules people can trust

Automation only helps if people trust where files end up, so the classification rules have to be predictable and easy to adjust.

Lessons learned

  • “Small automations that remove a daily chore can deliver more value than large systems.”
